Appointments are intentionally unrushed and thoughtfully prepared. In return, clients are encouraged to arrive prepared, engaged, and committed to the work involved in healing and growth.

This practice prioritizes depth over volume, collaboration over urgency, and long-term outcomes over short-term solutions.

A Note About Fit

Not every practice is the right fit for every individual or organization.

Wellness by Design Health works best for individuals and leadership teams who value reflection, accountability, and intentional progress.

If your needs require crisis services, ongoing after-hours availability, or rapid medication adjustments without collaborative discussion, another model of care may better support you.

Fees, Financial Policies & Practice Expectations

Investing in Thoughtful, Personalized Care

Wellness by Design Health operates as a private-pay practice. This model allows care to remain individualized, confidential, and free from insurance-driven limitations that often restrict time, treatment planning, or clinical decision-making.

The goal is to provide meaningful, collaborative care focused on long-term wellness — not rushed appointments or volume-based treatment.

Insurance

Wellness by Design Health does not bill insurance companies or participate with insurance networks.

Payment is made directly at the time of service.

Upon request, documentation may be provided for patients who wish to independently pursue possible out-of-network reimbursement through their insurance carrier. Reimbursement is not guaranteed and varies by individual plan.

Fees

Fees vary depending on service type, consultation scope, and organizational needs.

Individual Clinical Services

Rates vary based on appointment type and clinical complexity.

A current fee schedule is provided prior to scheduling services so individuals may make informed decisions before beginning care.

Organizational Consultation & Workforce Advisory Services

Consultation services are customized based on organizational goals, patient population needs, staffing structure, and scope of engagement.

A detailed proposal or service agreement outlining services and fees is provided prior to engagement.

Payment Expectations

Payment for individual clinical services is due at the time of the appointment.

The credit card on file will be securely charged at the start of the scheduled appointment unless alternate arrangements have been made in advance.

Organizational consultation invoices are due by the 15th of the month following services rendered, unless otherwise outlined within a contractual agreement.

Appointment Scheduling

All services are provided by appointment only through secure telehealth platforms.

Appointments are scheduled in advance to allow adequate preparation and thoughtful collaboration. Evening, weekend, holiday, and after-hours clinical services are not available.

Messaging systems are intended for scheduling or administrative communication only and are not a substitute for clinical appointments.

Late Cancellation & Missed Appointment Policy

Appointments represent reserved time dedicated specifically to you.

Cancellations or rescheduling requests made with less than 24 hours notice will result in a $100 late cancellation fee charged to the card on file.

This policy allows availability for other individuals seeking care and respects the professional time reserved for each appointment.

Medication Refills

Medication refills are generally addressed during scheduled appointments so treatment response, safety, and any necessary adjustments may be thoughtfully discussed.

When clinically appropriate and patients remain stable on their current regimen, extended prescriptions — including up to 90-day prescriptions — may be provided.

Appointments are scheduled to allow adequate time between visits so medications may be renewed without interruption.

Controlled Substance Prescribing

Controlled medications will not be filled early.

Prescriptions are written to provide appropriate coverage until the next eligible refill date. Requests for early refills cannot be accommodated except in rare circumstances requiring clinical review.

Communication Between Appointments

Secure messaging is intended for administrative coordination or brief clinical clarification only.

Messaging is not a substitute for therapy sessions or medication management appointments.

Concerns requiring clinical discussion will be scheduled as an appointment to ensure appropriate care.

Scope of Clinical Care

Wellness by Design Health provides psychiatric medication management and psychotherapy within a behavioral health model that considers the whole person.

Chronic medical conditions should continue to be managed by a primary care provider or appropriate medical specialist.

Comprehensive medical and laboratory evaluation may be utilized when clinically appropriate to assess whether underlying medical concerns may be contributing to psychiatric symptoms.

Organizational Consultation Agreements

For contracted programs or facilities:

Scheduled consultation services remain billable when patient visits cannot occur due to facility staffing limitations, scheduling conflicts, or operational changes.

If services must be cancelled by Wellness by Design Health, billing will not occur for that scheduled time.
